Next Season's Schedule
I can now confirm the training and match slots for 09/10 will be as per attached. It will be important for each squad to stick to their published slots to avoid unnecessary congestion on the pitches and in the car parks. This includes finishing your training session on time.You will only have access for the relevant slots and therefore you need to vacate them on time to allow others access.
In preparation for Sign On day in June please advise your players and parents now what your schedule will be next season, so they know what their commitments will be when they renew their membership.
On a different note, there is an increased amount of administration at this time of the year with the AGM and preparation for both Sign On day and the end of season presentation. In addition the activity needed to complete 2 affiliations to the Football Association, complete league and cup entries for 12 squads and secure pitch allocations over multiple venues to cover our activity for games and training for 15 squads means there is a mountain of work to do in a short space of time. This is on top of the normal secretarial activity and other issues arising with the Clubhouse development project. (No I'm not bricklaying too!!)
Why am I telling you this? Well it's not for the sympathy vote, what I am trying to say is please bear with me if, during this time, you feel like I am pestering you for information! I cannot deliver this without certain information or help from you. I will try to give good notice of the information required and ask that you therefore try your best to meet the deadlines. If on any occasion you cannot do so then please contact me as soon as possible to let me know. If you miss the deadline and I don't know why then you just create extra work for me chasing you!
I do appreciate all the effort you each put in throughout the season and I know this time of year and the start of the season can be particularly challenging for you in terms of the demands from me. Please bear with meand let's work together to make it as easy as possible for all concerned.
Just one request from you on this mail. Can lead coaches please respond to confirm you have seen this so I know you have received your schedule for next year.

Bradford Town Youth Veterans Tournament

6th Annual Bradford Town Youth Football Club Veterans Tournament
Date: Saturday 23rd May 2009
Time: 3.00pm
Venue: Bradford-on-Avon Rugby Club, Winsley, BOA
Teams: 6-a-side, (5-a-side can be played if teams start, or become, short on numbers).
Minimum age: 35 years (we will be running an honour system, so no birth certificates required!)
Entry fee: £25 per team
Competitive environment: The tournament has a history of being a good-natured and fun competition, which we intend to defend and request players are on their best behaviour. If you are inclined to take this sort of thing a bit too seriously, then we'd rather you stayed away. That said, shin pads are definitely recommended as it will be competitive!
Bring family and friends to support your team, as there will be refreshments available.

Sign on Day
I know it seems a long way off but I just wanted to give you adequate notice that this years Sign on Day will be Saturday 13th June.
This will be the morning when parents attend the Club to renew their child's membership for next season. It is a major activity and I would greatly appreciate your help to do your teams renewals. Could I ask that you put it in your diary and if for any reason you are unable to be there on the day can you nominate someone else from your group who can take on the activity.
I will send instructions and paperwork etc nearer the time.

FA Introduction to Age Appropriate Coaching
(6.30pm - 9.30pm)
The one day Introduction to Age Appropriate Coaching has been revised to a two evening event rather than a single full day. This makes this very worthwhile course much easier to attend with participants only required to attend two 3 hour evening sessions. This is an excellent foundation course for all of those coaching children between the ages of 5 and 11 and comes highly recommended.
DHUFC will fund each participant by £10, bring the cost down to £5 per coach.

Coaches Newsletter - April 09

1. Training And Match Schedule
See attached details of the proposed training and match schedule for season 2009-10. Facilitating this schedule becomes harder each season, with increased teams, resources and constraints to consider. Once finalised each squad will be expected to stick closely to their slots therefore please review it carefully and if you see any errors or omissions contact me by Wednesday 22nd April.
2. Annual Squad Report
As part of the reporting process for the AGM each coaching team needs to produce a squad report. I attach a template for you to use. Would lead coaches please coordinate and arrange the completion of the report and mail it to Wendy at this address before 1st May. Please remember that highlights and successes are not necessarily driven by results as the club ethos is about encouraging children's participation, enjoyment and all round development not focussing on results.
3. Coaching Certificates
It is now an FA requirement of our Charter Standard status that coaches supply copies of their current coach education certificates to the Club. This means all coaches need to supply as a minimum, copies of their current Emergency Aid and Safeguarding Children (child protection) certificates. For the majority who have also attended level 1 a copy of this certificate is required too. Any coaches who have done additional courses to enhance their development such as level 2, Age Appropriate, Coaching Disabled Players etc. should also include copies of these certificates.
Please copy your certificates and send them to Wendy Oxenham, our Volunteer Co-ordinator at 31 Lansdowne Crescent, Derry Hill, Calne, SN11 9NT to reach her by 1st May.
4. Evening Training
Now the light evenings have returned we are able to offer each squad the opportunity to extend evening training to their members. Evening training is optional and not covered under the Club membership fee. As a result it attracts a fee of £2 per player/session which must be collected by the coaching team on the night.
As the weather improves this is excellent way to spend an evening offering the players an opportunity to just play and enjoy an outdoor activity at BSG. As an optional activity evening training almost always means that a number of your squad won't, or can't, attend so combining training with another squad 1 year up or down offers flexibility for the combined coaching team and a different grouping of players for those taking part.
If you are thinking of extending this opportunity to your squad then please contact me before doing so in order that I am aware that it is going ahead.

A reminder that the Club is mandated to maintain records of where our teams are playing so please ensure you log any tournaments that you are entering on the Tournament Log

Mid Wilts - Request For Help Checking Results
Hi All,
I have spent the last three days going through every game registered on the fixtures data base trying to put the web site right. I have completed the under 12’s through to 17’s. I will do the 10’s in due course. The under 9’s and 11’s are new so we shall just keep an eye on the incoming results/postponements.
All the information on the web site now matches the databases used to run the fixtures. I now need you to ask your managers to look at their fixtures on the web site to see if what we have is correct. I dare say there will be some missing results but without your help it would mean asking the results/registrations secretary’s to check every single result sheet since the start of the season.
What would also help, if you find an error, is that you inform me and Rob Bridges so that both his system and the web site are in sync. Please make sure if you find an error to inform us of which age group, division and team (if you have more than one in a division) the error relates to.

Important Change in Procedure (Update) - Reporting Match Postponements to MWYML
1. Now that I have done it a couple of times I can see some of the wrinkles that need ironing out.
To simplify the process, when you notify me that you have sent a postponement form, can you provide the information in the following format:
Fixture: This should include the name of both teams, in the correct order to indicate which was the home team, the age group and the relevant division.
Date of Match:
League or Cup game:
Date postponement form sent:
(Just cut and paste this section and then fill in the blanks and send to me at postponement@dhufc.org
Here is a completed example
Fixture: Trowbridge Town Youth B v Derry Hill Utd U13s (Green Division)
Date of Match: 25 January 2008
Type of Game: League
Date postponement form sent: 25/1/09
This way when I construct the mail to the league I can cut and paste the information for each postponement rather than having to search through copies of postponement forms or narrative in emails.
Remember the subject header on the mail you send me should be: (Your team name) followed by "Notification of Postponement" e.g. Flares Postponement.
2. In addition the league have also drawn to our attention that many Clubs are not meeting rule 10(f.i) on postponements and have asked to ensure that "The postponement of any game must be reported by phone/text to the relevant officer (rule 10 f (i)". Clubs failing to meet these requirements may be subject to disciplinary action.
Can I ask you to review this rule and ensure in addition to your normal postponement activity you undertake the necessary action required under this rule. I am sure you are cancelling referees and notifying the opposition but in future you need to ensure you also contact the League Fixtures Secretary for your age group and the Publicity Secretary(I have checked with the league and the reference in the rule to "Results Secretary" actually means Derek Ledbury the Publicity Secretary who you would normally telephone with the results).

Secretaries and Coaches Update - February 09
Hopefully the weather will clear somewhat for us as we move toward spring and with luck match activity will become more predictable. I know this is important to the League as many Clubs are now well behind with their match schedule which will likely cause fixture bottle-necks as the League try to meet their rule to finish all competitions before the 2nd week of May.
February is going to be exciting for Derry Hill as in the middle of the month we will learn whether we have been successful in reaching our Clubhouse funding goal of £300,000.
Everything has so far gone to plan and we currently have £120,000 committed to our project subject to us finding the remaining £180,000 before March. I know this sounds a large shortfall but we are extremely hopeful about the success of our £180,000 bid to the Football Foundation which is due to go to panel shortly.
Finally please take a look at the topics below. There are some important pieces of information to convey. As always if you have any questions, concerns or queries please get in touch.

WCFCA Coaching Session
Derry Hill United is a member club of the WCFCA. All DHUFC coaches are welcome and encouraged to attend the next coaching session which is scheduled to take place at Stanley Park, Chippenham on Tuesday 3rd February (7pm - 9pm).
Working With Teams
I recently sent out an invitation which offered coaches the opportunity to attend this excellent course. It is being held at The Oasis Leisure Centre in Swindon and takes place over two evenings, 24th February and 3rd March (6.30pm - 9.30pm). See my previous mail for further details. Contact our Club Volunteer Coordinator, Wendy Oxenham, by February 6th to reserve your place.
Club/Pitch Closure
Club Calendar
Saturday 14 and Sunday 15 February
The Club will be closed, and all pitches at BSG and Springfields will be unavailable for use. I know some of you have League fixtures this weekend but would encourage you to postpone these due to the school holiday, this is especially true for those who are scheduled to have home games - our pitches really could do with a short break.
Coaching Qualifications
In order that we meet our obligations to the FA we have to validate and prove to the authorities that each of our coaches has the appropriate qualifications to meet their role within the Club. More about this later in a separate mail but in the meantime this is just early notification that we will be asking for copies of your current coaching, emergency aid and child protection workshop certificates. If you have chance over the next few weeks hunt them down and put them aside ready for our collection and compilation.
Kit Orders
Can I ask that you pass on the following message to your squad.
Just one week before the deadline on this term's kit order. Please ensure you have all your orders to our kit coordinator, Catherine Saville, by Saturday 7th February. This will be your last chance to get hold of Club kit before the end of season so please ensure you get your order in by the deadline. Orders received after the deadline will not be submitted until the next kit order at the end of the season.
